Follow up on 'not now' replies
Someone said 'not now' six months ago. Find what changed at their company since, and write to that rather than to the old thread.
The conversation
Sample accounts and numbers, for illustrationYouFind everyone who replied ‘not now’ or ‘bad timing’ to a sequence in the last 6 months, check what has changed at their company since, and draft a follow-up for each that opens on the change, not on the old thread. Skip anyone who has since opted out or left the company.
3 checks · replies, news and CRM
- Pulled sequence replies tagged Bad Timing from the last 6 months, including out-of-thread replies to your mailbox.
- Dropped anyone whose later reply was tagged Left Job or Opt out, and anyone now in an open opportunity.
- Checked news, job openings and funding at each remaining company since the date of the reply.
Fourteen people replied ‘not now’ in the last 6 months. Nine are still in their roles and have not opted out, and something has changed at six of those companies.
- MarchDana Holt · Northwind Labs“Budget is set until Q3.” Since then: a VP Operations hired in August.
- AprilNils Berg · Merridian Systems“Mid-migration, ask again after summer.” Since then: Series B closed, 14 support roles open.
- MayTara Quinn · Brightpath“Not this quarter.” Since then: nothing on record.
- JuneElena Marsh · Lumen Freight“After the platform move.” Since then: nothing on record.
Tags come from Unify’s reply classification. Where the reply named a quarter or a month, that date is read from the text.
YouWhich of the nine have a real reason to hear from us now, and which should wait?
Six have a change worth writing about. Three, including Brightpath, have nothing new, so they wait for the date they gave.
Dana said Q3. Q3 has arrived, and the company hired a VP Operations in August, the role the original thread was about.
Nils asked for after summer. The Series B closed in July and there are 14 open support roles.
Tara said not this quarter. Nothing has changed on record, so nothing is drafted.
Elena said after the platform move. No sign it has happened yet.
YouDraft the six. Open on the change, not on the old email, and send them from whoever owns the account.
Six drafts are with their senders. None of them says ‘circling back’.

SubjectFourteen support roles
Nils, when we spoke in April you were mid-migration. With the Series B closed and fourteen support roles open, the question is probably how the new team ramps rather than which tool. Happy to compare notes on that, no pitch attached.

Set up
- Six drafts routed Four to account owners in Salesforce, two to the rep who ran the original sequence.
- Three held with dates Brightpath and two others come back on the dates they named, or when something changes.
Replies tagged Left Job or Opt out never make this list, whatever changed at the company.
Bad-timing follow-up, with and without Unify
'Not now' has a date on it. Most teams never look it up.
| Without Unify | |
|---|---|
| A 'not now' reply gets a note in the CRM and a reminder that nobody sees again | Every reply is classified as it lands, so the bad-timing ones are a list you can pull on any day |
| The follow-up, when it happens, re-sends the old pitch with 'circling back' on top | Unify checks what changed at the company since the reply, and the draft opens on that |
| People who left the company or opted out get the same follow-up as everyone else | Replies tagged Left Job or Opt out are skipped, and nothing is drafted to those people |
| The rep cannot tell a real 'next quarter' from a polite brush-off | Replies that named a time frame are listed with the date, so the ones whose window has arrived come first |

How it changes by who you sell to
- Software
- Software buyers say 'not now' because a migration, a renewal or a hiring plan is in the way, and all three leave traces. Ask what changed in the stack, the team or the funding since the reply, and open on the one the person mentioned.
- Financial services
- At banks and insurers 'not now' usually means a budget cycle or a review, and the date they give is real. Ask for replies that named a quarter or a fiscal year, and hold the rest until the date rather than writing early.
- Professional services
- Firms defer when a partner is out, a client engagement is running or the practice is restructuring. Ask whether the practice has hired, opened an office or changed leadership since, and write to the partner, not the person who deferred.
- Retail and e-commerce
- Retail replies cluster before peak season and say 'after the holidays' almost every time. Ask for replies from the last season with the date they named, and check for new stores, a platform change or a new head of e-commerce since.
- Media
- Agencies and publishers defer on a client's budget, not their own, so the change to look for is a new client, a new title or a rebrand. Ask Unify to separate agencies from brands and to read what each one has launched since the reply.

Questions about this workflow
How does Unify know a reply meant 'not now'?
Unify classifies every sequence reply with AI as it arrives. Bad Timing is the tag for a reply that shows interest but cites budget or timing. When the reply names a quarter or a month, Unify reads that date from the text. Replies sent outside the thread to your mailbox are captured too.
How is this different from reopening closed-lost deals?
Closed-lost works from opportunities in your CRM. This works from sequence replies, most of which came before any opportunity existed. The people here never got as far as a deal; they said the timing was wrong.
Why are some people skipped?
A later reply tagged Left Job means the person is no longer there, and Opt out means they asked not to be contacted. Both are dropped whatever changed at the company. Anyone now in an open opportunity is passed to the rep instead of drafted to.
What if nothing has changed at the company?
Then nothing is drafted. The person stays on the list with the date they named, and comes back when that date arrives or when news, hiring or funding appears. A follow-up with no reason behind it is the email this workflow exists to avoid.
